Document Storage Automation
Filing that names every incoming document by one set rule, saves it in the right folder and keeps a searchable index, so nobody files by hand.
Files end up wherever they were saved
Documents land in download folders and email threads, saved under names like Untitled. Finding a lease, a drawing or a signed estimate means searching several folders and asking around. A filing system picks up each new document and names it with one rule. It files the document in the correct job, client or property folder and adds a line to an index searchable by name, date or party. A document with no clear home goes to a review list for a person.
What's included
- 01
Naming rule
every file named by one pattern, such as date, party and document type.
- 02
Folder placement
files saved to the right job, client or property folder in the storage already in use.
- 03
Searchable index
a sheet or database listing each document with its name, date, party and location.
- 04
Duplicate check
a document already on file is flagged instead of saved a second time.
- 05
Folder setup
a new job, client or property gets the standard folders when its first document arrives.
- 06
Filing history
each file's original name, new name and new location recorded.
- 07
Review list
documents with no clear home wait for a person, with the reason noted.
- 08
Rule approval
naming and filing rules change only when a person on the team approves the change.
How it works
- 01
Folder review
The review covers how folders and file names work today and ends with one naming rule and one folder layout.
- 02
Setup
The inboxes and folders where documents arrive are connected, then the filing rules and the index are built.
- 03
Supervised test
The system files a batch of real documents beside staff, and a person checks each placement before it files alone.
- 04
Launch and support
Filing goes live on the client's sign-off, and monitoring for misfiles, rule tuning and a monthly report follow.

Frequently asked questions
Will it work with the shared drive and job software?
It files into the storage and job system already in use, such as a shared drive the team opens daily. The connection is confirmed before the build, and existing folders stay where they are.
Can it file documents that already exist?
Yes. The same rules can run over an existing folder as a controlled batch that is approved first. Anything it cannot place goes to the review list, and the system deletes nothing.
What if a document has no obvious folder?
It goes to the review list with a note saying why, for example no matching job or two possible matches. A person picks the folder, and that choice is recorded in the filing history.
Who can open the files and the index?
Only named people. The files stay in the client's own storage accounts, and the index lives there too. Every filing action is recorded, and staff can pause the system at any time.
