Engineered Systems for Property Management
Agents and automations answer tenant calls, turn maintenance requests into work orders, send rent reminders and track vendor documents for property managers, with staff approving anything that goes out or pays a vendor.
Challenges for property managers
- 01
Maintenance requests copied by hand
A leak or a broken lock is reported by phone, text or email, and someone copies each report into a work order.
- 02
Tenant calls after hours
Tenants call at night and on weekends, and the voicemail holds the message until Monday morning.
- 03
Vendors dispatched by phone tag
Finding the right vendor or technician for each job takes calls back and forth, and the schedule lives in one person's head.
- 04
Late rent chased by hand
Past-due rent waits until someone has time to check the ledger and call or text each tenant.
- 05
Leases and notices on paper
Leases, renewals and notices are printed, signed and filed by hand, and one signed copy is hard to find later.
- 06
Vendor paperwork that drifts
Vendor insurance certificates expire without notice, and invoices are paid without a check against the agreed pricing.

- 03
Build & Launch
The build team delivers one workflow at a time, such as rent reminders, and tests it under supervision. The workflow goes live on sign-off.
- 04
Managed Support
Monitoring continues as properties and vendors change. Tuning and a monthly report follow, and the next workflow is added when the office is ready.
Frequently asked questions
Who decides which maintenance requests are urgent?
The property manager does. The urgent situations, such as a leak or a lockout, and the person to call for each are written down before launch. The system follows that list and records every request as a work order.
What happens when a tenant disputes a rent balance?
The system records the dispute and passes it to staff at once. It does not argue or decide. A person reviews the ledger and replies, and staff decide whether reminders continue.
Can each property keep its own rules and contacts?
Yes. The only condition is that the rules are written down. The assessment records each property's contacts, preferred vendors and the repairs an owner must approve. A request for one building then follows that building's rules.
