Accounting System Sync

For trades and contractors, the system carries customers, jobs, invoices and payments between the job software and the accounting software, so each is entered once.

The same job is typed in twice

The customer and the job get entered into the job software, then again into the books. The invoice is typed a third time when the job is billed. Mismatched names and amounts follow. The system carries customers, jobs, invoices and payments between the two tools on a set schedule, matching records by job number. Records that disagree land on a daily review list. Changes to the books follow rules the business approves, and anything outside them waits for a person.

How it works

  1. 01

    Record review

The review compares how a customer, a job and an invoice appear in each tool today and lists where they differ.

  2. 02

    Mapping setup

The setup agrees the field rules with the bookkeeper and connects both tools, starting with read-only access.

  3. 03

    Supervised test

The sync runs on live records in one direction first, while the bookkeeper checks the results against the books.

  4. 04

    Launch and support

The sync goes live on the client's sign-off, and sync-log reviews, rule adjustments and a monthly report follow.

Frequently asked questions

Which job and accounting software can it connect?

Many job, field service and accounting tools allow connections, and some do not. The first step checks each tool and states plainly what can sync. The work builds around the tools already owned and never requires a switch.

What if the two tools disagree about a record?

The record goes on the daily review list with both versions shown. Neither tool is overwritten until a person decides which is right, and the decision is recorded with the name and time.

Does the bookkeeper keep control of the books?

Yes. The bookkeeper approves the mapping rules, reviews the daily list and can pause the sync at any time. The books are never changed outside the agreed rules. Every change the sync makes is also written to the log.

A consultation compares a customer, a job and an invoice as they appear in both tools.
