Invoicing & Billing Automation

For service firms and trades, the system drafts invoices from completed work, schedules the follow-up and holds each invoice until a person approves it.

Finished work waits for an invoice

The job is done, the hours are logged or the milestone is met, and the invoice still waits until someone has time to build it. Details get copied from job software, timesheets and email into a template by hand. When work is marked complete, the system creates a draft invoice from the quote, the hours and the billing rules. It lines up the follow-up dates. A person reviews each draft and approves it before it is sent.

The review follows a few completed jobs from the last site visit to the paid invoice and notes every handoff.

  2. 02

    Rule setup

The setup writes the billing rules with the office and connects job tracking, time data and the accounting software.

  3. 03

    Supervised test

Drafts are created for real completed work while the office compares each one with its own invoice.

  4. 04

    Launch and support

Drafting goes live on the client's sign-off, and draft checks, rule adjustments and a monthly report follow.

Frequently asked questions

Can it bill by milestone, by the hour and by deposit?

Yes. Each billing type the company uses is set up as its own rule and tested with real work before launch. Unusual terms are flagged for a person instead of guessed at.

Who approves an invoice before it goes out?

A person the business names, usually whoever reviews billing now. Each draft shows its sources and waits for approval. Staff can approve in batches, edit a draft or hold it back.

Will customers see a change in how invoices arrive?

Only if the business wants that. Invoices go out from the company's own email or accounting software, in its format, so customers see the same sender and layout they know. The business chooses whether anything changes.
